Interlibrary Loan Guidelines


What is Interlibrary Loan (ILL)?

Interlibrary Loan is available to request materials that are not owned by Hedberg Library from other libraries. There is no charge for loans to Carthage students, faculty, and staff. The average time needed for Interlibrary Loan transaction is 7-14 days. To avoid delays, always check the Carthage Catalog and EBSCO A-Z before submitting requests. If you have any questions ask at the Library Information Desk or contact the Interlibrary Loan Librarian at 262-551-5900.

Who Can Use Interlibrary Loan?

  • Carthage undergraduate and graduate students
  • Carthage faculty, staff, and administrators - current and retired

How to request Interlibrary Material?

  • ILL forms:
    1. Hard copy forms are available on the display rack across from the Circulation Desk. It is acceptable to attach printouts of the citations that you have found online to this form by filling out your contact information and writing your name on each page.
    2. Electronic forms are available on the left hand side of this webpage that can be filled out and sent to the email account of the Interlibrary Loan Librarian.
  • All forms must be filled out completely including:
    1. Complete citation - do not abbreviate.
    2. Source of citation, in case of incorrect data.
    3. Borrower information, including signature to indicate willingness to comply with copyright law (if using the forms on the web, sending the request indicates compliance with copyright law).
    4. When assignment is due (requests take from 7-14 days to process).

How do I pick up my ILL materials?

  • Students
    1. Students will be notified via email when to pick up their book requests at the Library Information Desk.
    2. Dorm students will have their periodical article requests sent to their student mailbox.
  • Faculty/Staff - Requested material will be placed in Lentz Hall mailboxes.
  • If materials cannot be borrowed, that information will be sent via email.

How do I return my ILL materials?

  • Books have a band around the front cover indicating the due date. Return these materials to the Information Desk at the library.
  • Periodicals articles are copies that belong to the patron.

How to renew Interlibrary Loan materials?

Requests for renewal should be made at least five (5) days before the due date. Students, faculty, and staff will be notified via email whether the material can be renewed and a new due date. There are several ways that you can request a renewal of ILL materials and in all correspondence please include the IL: Number on the band of the book to expedite the process.

  • Online request is available on the left-hand sidebar that will send a request to the Interlibrary Loan email account.
  • Email directly to ill@carthage.edu.
  • Call the Library at 262-551-5900 and request to speak to the Interlibrary Loan Librarian.

What about Overdue and Billed Interlibrary Loan Materials?

There are no overdue charges for Interlibrary Loan materials. However, if the borrowed materials have not been returned, the patron will be charged for the replacement cost of the material. The cost is determined by the lending institution and may vary from $60-$100 per item.
