Library Room Reservation Policy Requests for media assets and room reservations should be submitted a MINIMUM of one FULL WORKING DAY in advance of the time you need them. For example, a request for Wednesday noon should be submitted by Tuesday at noon ; a request for Monday at 8:00 a.m. should be submitted by 8:00 a.m. the preceding Friday. Requests submitted with less than one full working day's advance notice are handled on a walk-up, first-come, first-served basis. We've recently put reservations online . The reservation pages even contain links to resource scheduler's instruction page and to instructions for checkout equipment and the equipment installed in media classrooms. Once your request has been acted upon, you will get an email confirmation, informing you of the action that has been taken. Reserving a room implies your agreement to several conditions. These pertain to the intended use of the facility, presence of food and drink, and the care exercised in using the facility and the equipment within it. First, realize that any use of college facilities bears with it your agreement to stay within the confines of the law and the student community code of conduct. All violations of Carthage policies, state law or federal law are subject to sanction under the community code. This includes, but is not limited to, your agreement that the facilities you reserved will not be used to violate copyright protections in showing video tapes, DVDs, etc. Abuse of copyright is a violation of the law and will be dealt with under the student community code and applicable local, state and federal laws. Secondly, please note that patrons are not allowed to bring any kind of food into Hedberg Library. Only beverages in spill-resistant containers are allowed. An appropriate container is any cup or bottle designed to minimize spillage. Lidded travel mugs, sports or soda bottles with screw-on or pop-up tops are examples of acceptable containers. Aluminum cans, paper or Styrofoam cups and open-top coffee mugs are not permitted in the library. Events sponsored by members of the Carthage community are permitted to have food and drink in the library according to the following guidelines: a. The individual in charge of the event must reserve a room in the library by sending an email to av@carthage.edu or by using the web page at http://www2.carthage.edu/ais/mediareserve.htm b. All food and beverages consumed at approved events MUST BE CATERED by Sodexho. In that case, the food and drink must be confined to the classroom in which it is served. c. If you plan to have Sedexho cater your event, you must inform Dennis Unterholzner, Head of Library Public Services, of your intent. He may be reached at x5900. Third, we’d ask your help with a few things: a. If you need to use some of the media resources in the classroom, please ask for assistance ahead of time. We will be happy to show you, or any member of your organization, how to use the equipment. This will help prevent last minute problems, perhaps at a time when our staff is not immediately available. Just send an e-mail to av@carthage.edu, and we'll set something up. b. Please put the room in proper order when you leave. We have had groups leave the rooms in disarray, and then the next group in the room has a problem. We hope to have the room in proper shape when you arrive; please help us to be as ready for the next group. For example, in the Niemann Theater, please erase any of your group's material on the white boards; place the desks in rows; collect any left over material or trash and put it in the garbage cans; and return the podium and tables in the front of the room to their proper places. c. Please try to prevent your group members from abusing or damaging the room, its furniture and equipment. We have had several tables and desks damaged in the past. If something should break by accident, please inform the information desk on the upper level of the library, so that we can take care of the situation. |

Equipment checked out within four (4) hours of closing must be returned no later than 8:00 the following morning ( 2:00 pm on Sundays. Requests for checkout of media equipment for a period greater than four (4) hours MUST be submitted via e-mail, at least one full working day in advance of the requested checkout time. Requests should be e-mailed to av@carthage.edu. Please do the courtesy of returning equipment on time so others may use it. A fine of $5.00 per hour (or fraction thereof) will be assessed for every hour equipment is overdue, to a maximum of $25.00 per day. Patrons will also be held financially responsible for any repairs due to the borrower’s failure to exercise due care in the use, storage, or transport of borrowed equipment. |
