The Workday@Carthage project is nearing the completion of the architect phase for human resources, payroll, and financials. Alchemy, the implementation partner, has loaded Carthage data and has begun to configure the system to meet the College’s requirements. A demonstration of these configuration changes will occur for the project team during customer confirmation sessions in late June and July, but the Carthage project team has already seen many of the “to be” processes.

Carthage’s project manager Lisa Aschauer said, “It’s been stressful in the current climate, but we know the ability to streamline processes is critical. We have to find ways to do more with less, and the team is seeing that opportunity every time we assess the ways we’ll be working with Workday in the future.”

The Workday system also provides new features that reduce manual effort. Vince Ceja, Carthage’s controller and lead for financials, said “We are very excited about Workday’s functionality. For example, Fixed Assets and Accruals are currently manual processes that we are doing in Jenzabar CX.” The new system has these capabilities built-in.

One of the largest efforts to date has been around data conversion. LIS manager Dave Robinson said, “The Workday project is providing us a significant opportunity to review our existing enterprise data and to become more consistent and better organized, which will enhance our ability to use the data more effectively to understand and improve the College’s operations.” This data design work will enhance Carthage’s future flexibility and the ability to do reporting and analytics.

Release 1 is scheduled to go live in January 2021. The scope includes human resources, payroll, and financials.
