The Workday@Carthage project team has made tremendous progress and is almost ready to deploy Release 1. During this phase, we will be moving data into Workday, developing reports, and preparing training materials.

New functions will be available to all Carthage faculty and staff members starting after the holiday break on Monday, Jan. 11. Training and use of the new system will be phased in to minimize disruption and give faculty and staff time to learn the new functionality.

The team is putting together modular pre-recorded and live orientation materials, and will have a hotline available for anyone that has questions. Supervisors should plan to take a one-hour “Intro to Workday for Supervisors” training during the week of Jan. 11. Other employees should plan to take a 30-minute “Intro to Workday for Employees” training by the end of January. Please let the teams you work with know about this training.

Additional training will be available as we phase in the new functionality. All faculty and staff will also be invited to complete a Google Survey to assist the team in preparing additional training materials for the January deployment. We look forward to your input.

Monday, Jan. 11

HR functions:

  • People and organization chart data (new functionality)
  • Staffing: Requesting new positions, replacements, hiring new faculty and staff (not students)
  • Onboarding for new faculty and staff
  • Offboarding / terminations
  • Maintaining contact information

Financial functions:

  • General ledger
  • Expense reporting
  • Accounts Payable
  • Banking and treasury
  • Financial reporting
  • Grant processing
  • Gift processing
  • Capital projects
  • Customer accounts / miscellaneous cash receipts

Once these are live, faculty and staff will no longer use the legacy expense report forms, check requests, grant check requests, personnel action forms, position request forms, and financial reporting tools in MyCarthage.
